BURNBRAE MAINTENANCE ASSOCIATION
SCHEDULE OF REGULATIONS, FEES, AND FINES FOR RULES VIOLATIONS
Late Payment of Condo Dues $10.00 per month
Parking Permit Replacement $10.00 per tag, max 3*
Move In – Registration Fee $100.00 (Due from Owner for Tenants Occupied Units) (NOO)
Pet Fee-per pet annually (bill every Jan annually) $25.00 each 2 pet max
Trash-leaving trash or other objects outside the front door or in an area considered a common element. $50.00 per occurrence or per week left unattended
Trash Dumpster-dumping of contractor materials or house rehab items (ex: cabinets & carpeting & toilets & drywall & doors, appliances, no stoves, refrigs, hwh, dishwashers, washer or dryers, bed frames & mattresses, dressers, and any exterior and interior household furniture is NOT allowed). Only kitchen and bathroom garbage and household recycling is allowed. Disposal trash that can be placed inside of your 13 gallon traditional inside household trash cans. Keep that in mind. ***$250.00 per occurrence and addl fees if Trash Removal Company fines Association & disposal fees from B.O.D vendor
Recycling or household trash bags contamination in the wrong dumpster. All recycling boxes should be broken down/flatten and placed inside of the recycle only dumpster. Only glass, carbon boxes and appropriately labeled recycle only materials are discarded in the recycle only dumpster. Household bags should only be items such as containers from grocery waste. Items examples are tissues, paper towels, containers from grocery stores that don't recycle materials, discarded food. There will be a $50.00 fee for this violation of co-mingling items in the wrong dumpster. There will be a $100.00 dumpster charge per trip to the Wilmington dump. Example: if you dump your mattresses on the ground next to the dumpster, the total of the violation ticket will be $150.00. The breakdown is $50.00 for dumping and $100.00 for removal by maintenance and proper disposal of $100.00 for a grand total of $150.00. Fees and fines by be more if BMA trash company then charges addl fees for improper dumping that could not be safely removed from the dumpster or might hinder the safety of trash company drivers.
Pets-curbing and not picking up after pet $35.00 per occurrence or per week left unattended
Vacant units-turning off utilities causing water leaks and damage to other units and common elements. 10 times the monthly condo fee per occurrence
Satellite Dishes-attached to roof and or siding Certified or Certificate of Mailing Letter-10 days grace-then $25.00 per week
Window Air Conditioners-$25.00 per week, per window a/c
Window/Door Replacement w/o Board Permission $200 per occurrence
*1 car gets 2 max parking passes, 2 cars get 3 parking passes max.
Other:
Pets-outdoors unattended - Reported to SPCA and removed
Parking-in someone else's space - Towed
Yard sale, donation pick up collections, trampoline & basketball set & moon bounce placement $100.00 per occurrence
Fireworks are prohibited from BMA premises $100.00 per occurrence & reported to State Fire Marshal's Office
Above are examples of Instant Tickets Fees.
The office will give warning regarding patio, window, grounds allowing you to correct in 3 business days.
Some instant tickets you will not receive a warning. Examples: trash bags on patio, trash can on patio, soiled pamper on patio, trash bag on ground at the dumpster, dumping unallowable items at the dumpster, unregistered pets, not picking up fecal matter after your pet whether own or visitors, diesel/gas powered three or four wheelers, scooters, bikes, trailer, commercial vehicles or CL vehicles, mopeds, etc., trampolines, moon bounces, basketball sets, gas cans, no complying with the proper grilling procedures, multiple repeat warning for parking in other parking spaces, double parking, no completing the patio/window/grounds warning within the allotted time without asking for additional item to complete such warning.

1. Balconies – This is a reminder to those on 2nd and 3rd levels in the apartment-style buildings, that you cannot sit items on the balcony railing as they can fall down on residents below. This is safety issue. No blankets or towels draping over the banister. No artificial plants or screens closing in your deck. No satellites should be attached to any common element's materials. The balcony is not a storage facility. Please be mindful of the allowed items on decks/balconies and patios. Please have consideration for each other.

Window & Door Replacements
Permission Needed to ALL BMA Units
An email should be sent to slhinc2@gmail.com to request replacement for windows and sliding glass door as well as exterior front door. The management office will then send you a form with additional details.
You or your door/window contractor/provider should submit specs as well color and style to ensure that it meets our Code of Bylaws.
Your window/door company must be licensed and insured to complete this request on BMA premises.
All window and door requests if submitted during the week will have immediate responses of less than 48 hrs.
If you proceed with window/door replacement without Board of Directors permission you may be subject to fines and accept all responsible fees/permits associated with window and door replacements.
All common element related areas are the Board of Directors responsibility. They will be assessed prior to your job if your vendor/contractor has specified troubleshooting/problem areas. This might cause a delay in your project. If the issue has been found during the window/door installation phase, stop immediately and contact the office via phone (302-737-0111, leave a message) or email to slhinc2@gmail.com. A message must be left, all voicemails are typed as well as your voice is attached to the email message and sent immediately just like a regular email. After hours the line is 302-257-2328, same as above, leave a message.
The Association will not reimburse any Association related work. The Association has their own contractor and vendors. This is why it's important to stop and call/email if you should run into an issue.
Reminder: Please remind your vendor/contractor that BMA dumpsters are NOT for construction materials. These materials need to be properly disposed of with the proper disposal company. This will result in a $250.00 violation fine if your vendor dumps on our site.

- Call the office ASAP 302-737-0111-if no one's pick up the phone leave a message. Leave one message. Your message will be transcribed into an email with your voicemail and will be emailed to us within seconds.

- Please speak slow and clear. Make sure we know which community you are calling from. Your name and the return phone number for you. Please also let us know what the issue is. Please no long stories. Example: This is Jane Doe at 111 Main Street, Main Lane, DE 19720, I have a slow leak on my bathroom floor in my half bathroom. I noticed it about 20 mins ago. My number is 302-555-1212

Water related--plumbing leaks
Here are a few things to always remember:
- All units Owners/Property Managers needs to rule themselves out. This will avoid you owing us a service fee/assessment fee.
- You should send a handyman, plumber to render their opinion.
- Always call office because we are very familiar with the plumbing at BMA. We can direct to check certain areas or even be able to usually know what the issue is and who responsibility it is. There are some cases where it looks like the Association but may be the Owner. We want you to always be able to use your contractor of choice.
- If it is Association related or the responsibility of the Association we will then schedule our contractors immediately. Do not fix and then expect reimbursement. The Board of Directors doesn't allow nor approve unapproved with prior written consent for the use of your contractors.
- If water is leaking please shut off the toilets or sinks/faucets or main shut off valve in your utility closet to avoid further damage to your unit or any surrounding units.
- Please use buckets or trash cans catch large amounts of water or even use a mop or wet vac (if you have one) to keep up water on the floors.
- Roofing leaks should be reported via email so they can be sent directly to the roofing contractor. Please submit a few pictures with the location of the leak within the unit as well as when you first noticed the issue.
Older Toilets should be replaced to avoided being charged for a building spike. Older toilets hold double or triple the amount of water of a newer model.
Please make sure your flex lines in the rear of your toilet are replaced ASAP. Especially if you have old poly pipes. These pipes become brittle and with no warning usually at 2amish in the morning they give way and create hectic. These pipes have also been banned for further use. A small trash can which is placed because the toilet can easily create a accident with just a bump. The same goes for old washer lines, ice maker lines, dishwasher lines should be updated to avoid costly repairs and a call to your insurance adjuster. The grayish fabric material is very common and is very flexible and sleek.
The Board of Director passed unanimous consent regarding this responsibility of the Owner of the Unit in regard to the flex line and other areas of what the Board of Directors covers. A violation fee of $750.00 will be charged to any Unit Owner who hasn't addressed their flex lines, and they have broken and created water to leak into unit.
Please clean your dryer vent line often or at least once a year. The same goes for units that have a fireplaces (if in use during that season).
PLEASE LABEL THE SHUT OFF VALVES FOR YOUR TENANT IN THE EVENT OF ANY EMERGENCY THEY ARE PREPARED.
If you have an older turn style main shut off valve from 1988 in your utility closet you should replace it. Over time they break down and become very hard to turn off in the event of an emergency. We have seen this time and time again. Please inform the office via email at slhhelp1@gmail.com. Your plumber can use their key for the ground shut off to avoid fees from our local water company. We ask that you just keep us in the loop for the other residents sake as well as if anything were to go wrong.
Owners & Property Managers please have your tenants report continuously running toilets or dripping leaky faucets to you asap. Get them familiar with making sure 20-30 seconds after you flush the toilet that it should be completely quiet. Any noises which start and stop or keeps on running should be repaired asap to avoid large spikes in the water bill for the building for the month.

It is the Owners/Property Managers responsibility to report all new BMA move-in residents. You will need to complete a new move in registration with each new tenant move in. This is mandatory for the BMA Community.

The move in registration/parking pass application is a total of 4 pages. The move-in registration/parking pass application is required of all units within BMA whether you have a car or not. Please complete all spaces otherwise you will be directed to resubmit if not 100% completed.
Page 1 & 2 are information about the Resident/Tenant or Owner onsite, contact number and car make, model, year, tag information, who and how many residents will reside within the unit, etc.
Page 3 is pet application --this is only applicable if you will have a pet. There is a 2 pet max. There are weight restrictions. No pitbull breeds allowed. By not completing this section and if Association finds out an pet this will be an automatic violation to the Owner of the unit. Write N/A if no pets are in the unit.
Page 4 is only the schedule of fines, fees and violation for Burnbrae. Please see website and R & R for more. This page is for the Residents & Owners.
Other reasons why you will have to resubmit move-in registration/parking pass application:
New unit move in --Owner or Resident
New replacement pass request (stolen, lost, misplaced)
New car purchased to replace old or first time adding a car onto registration
New pet add on or 1st pet
New resident added to an existing lease
If you lose or misplace a parking pass, please contact the office at slhhelp1@gmail.com in order to get another one. If you received a new car, you would need to fill out an application again since we can't physically alter your application/registration forms.
Reasons for Towing:
Parking over the white line, flat tire, parking in another BMA residents assigned space, double parking, blocking another from leaving their current parking space, non-visible/missing parking hang tag from rear view mirror, unregistered car with white parking tag that doesn't belong inside of current vehicle, missing license tags or expired car tags, parking in another space which is on the tow list are reasons that you can be towed and charged tow fee from tow company. Please do not park onsite if you or your guest doesn't have a parking pass properly displayed in your car rear view mirror.
Assigned & RT (Resident) parking spaces: all units have one assigned parking space. If you find someone in your assigned space, please call office at 302-737-0111 or email slhhelp1@gmail.com report make, model, color and send picture of your assigned number with the unauthorized car in your space. We will attempt to contact Owner and Resident and if this continues after this we will call tow company. RT = resident--these parking spaces are first come first serve spaces.
Visitors:
All visitors are required to have a orange parking pass. All guest/visitors of BMA residents and Owners need to park in the designated "V" parking spaces. They need to make sure the orange parking pass is visible in on their rear view mirror.

*Driver license or State ID, or passport, military ID for all residence over the age of 18
*Car registration for each car onsite
*Full lease and lease renewal page if we already have the lease but the annual terms have changed
*Renter insurance declaration pages-usually 1-2 pages

The management office will notify you right away once parking passes are ready for pickup.
Delinquent Accounts: If you have an outstanding balance or an unresolved issue with the B.O.D. this will delay your parking pass request.

Each request for replacement parking passes more than 30 days old is subject to new move in registration/parking permit application needing to be filled out again. All started requests that remain uncompleted after 30 days will be discarded.
NO PITBULL BREEDS ARE ALLOWED BMA ONSITE
If you are found to have this type of breed onsite you will be fined and you will still have to remove the dog. There are other additional breeds not allowed on BMA premises due to the weight classification. 35lbs per pet, 2 pet max per unit with pre-approval.
Pet Sitting is not allowed and will result in a violation fine.
